Below is the TEL recommended workflow for a summative individual Moodle Assignment reassessment. It ensures only appropriate students can access the reassessment activity and receive relevant notifications.

The guidance provided is for general use.

1. Create a reassessment group

Create a group with the students who are due to submit a reassessment in Moodle. Give the group an appropriate name, such as ‘[Unit code] Reassessment [Month/Year]’. Enable the ‘Hidden membership’ option to maintain privacy.

2. Create a new individual assignment activity

Create a new assignment by adding a new activity – do not reuse or duplicate/copy previous assignment activities. When creating the assignment, check that the group submission setting is not active. See Moodle Assignment settings for detailed guidance. 

3. Provide submission instructions in the description 

Use the ‘Description’ box to provide clear and complete instructions for submission. For example, include the date, time, and format of submission. 

4. Restrict access 

In the assignment settings, add a restriction. Add a restriction based on the reassessment group created in step 1. Check that the ‘eye’ icon is set to hide the assignment from students not in the group (this is the default if you have chosen ‘Hidden membership’ when creating your group).

Save your assignment, then check if your restriction is correctly enabled. To do this, go into the Assignment and select the Submission tab. You should only see the student(s) listed who are in the reassessment group. If needed, adjust group membership or restriction settings. 

5. After the deadline, lock student submissions 

After the deadline has passed, lock the student submissions to prevent any changes being made to student submissions. 

6. Provide feedback/annotations and marks on the submission

There are several different ways to provide feedback. For text-based assignments we recommend that you either add feedback/annotations and marks online in the Moodle grading interface, or use the batch upload/download and grading worksheet to return marks and feedback.

Use of advanced marking and feedback approaches such as Marking Guides and Rubrics is also possible.

7. Release Marks and Feedback to Students with Marking Workflow

When you have finalised your grades and feedback, you can lift anonymity  Set the Marking Workflow to “released” so students will be able to review their marks and feedback in Moodle. 

Notes on Grade Transfer

Grade transfer to SAMIS is not supported for reassessments. You must manually enter grades into SAMIS. 

Notes on Archiving Policy

An archive snapshot of Moodle is taken every year on or around the 1st August, with previous versions of Moodle being available in the Moodle Archive. Any assignments present in Moodle at the time of the snapshot will be available in the archive to any student or member of staff who was enrolled in the Moodle space at the time that the archive copy was made.

It is likely that reassessment submissions will fall outside of the Moodle archive snapshot. Prior to students being removed from the Moodle space, departments should retain local copies of reassessments, marks, and feedback in line with University retention policies. 

Notes on Moderation and External Examiners

If you want moderation to take place within Moodle, agree on a local process with your colleagues. A straightforward first step is to give your Moderator or External Examiner access to the Moodle space. For external examiners, liaise with your local programme admin team for guidance on arranging access. They can also contact DDaT to set up temporary accounts if needed, although most external examiners should already have University of Bath accounts.
